Job Summary

The Fine
Arts Center Box Office Manager directs a major business unit of the Fine Arts Center and is responsible for all Fine Arts Center Box Office
operations. Prime responsibilities include, but are not limited to, the financial, operational, and personnel functions of the Fine Arts
Center Box Office.

Essential Functions

Financial Responsibilities

  • Directs the work of the
    Fine Arts Center Box Office which processes $600,000 in sales per year on behalf of the Fine Arts Center, Department of Music & Dance,
    Department of Theater, and various external clients.
  • Develops and maintains policies and procedures that ensure a compliant sales
    environment per University and PCI-DSS (Payment Card Industry Data Security Standards) guidelines.
  • Projects ticket sales figures
    for Fine Arts Center season to include a minimum of 20 shows per season.
  • Evaluates and recommends ticket pricing for Fine Arts
    Center season.
  • Oversees annual operating budget for the Fine Arts Center Box Office of approximately $50,000.
  • Creates
    financial reports in AudienceView (ticketing software) provided to internal staff, campus partners, and external clients.
  • Compiles
    detailed financial reports for the Fine Arts Center Business Office, including but not limited to, final sales reports on all
    performances/events, subsidized ticket sales reports for billing Five College partners, budget variances, and end of year analysis.

Operational Responsibilities

  • Ensures the Fine Arts Center Box Office is aligned with current best practices in
    ticketing industry by staying informed of pertinent developments in the field.
  • Assists with strategic planning for the Fine Arts
    Center alongside Directors of Development, Marketing, and Programming.
  • Represents the University to vendors including, but not
    limited to, AudienceView, Bluefin (payment security company), and BOCA Systems (ticket stock/printer supplier).
  • Works directly with
    vendors to troubleshoot and de-bug software errors in products provided by AudienceView, Bluefin, BOCA Systems, and UMass UCard Office.
  • Represents the University at major ticketing conferences, including AudienceView’s AVConnect Conference and the International Ticketing
    Association’s Annual Conference & Exhibition for Ticketing Professionals.
  • Cultivates cross-departmental relationships including but
    not limited to the Directors of Development, Marketing, Operations, and Programming within the Fine Arts Center and the Department of Music
    & Dance, Department of Theater, and Student Affairs and Campus Life outside of the Fine Arts Center.
  • Meets with all campus and
    community clients of Fine Arts Center facilities to review sales strategies and ensure accurate performance/event execution.
  • Maintains an efficient sales environment through the implementation and communication of policies and procedures regarding customer
    relations, data integrity, single ticket sales, subscription sales, seat assignments, exchanges, refunds, ticket fees, and more.
  • Configures and maintains items in AudienceView across approximately 150 performances nights per year to include, but not limited to:
    payment methods, delivery methods, ticket fees, ticket templates, events, pricing structures, promotion codes, and miscellaneous sellable
    items.

Personnel Responsibilities

  • Hires, teaches, and supervises Box Office Senior Teller and Box Office students
    in the performance of complex and routine duties regarding cash and credit card handling, all items on sale through AudienceView, and
    customer relations best practices.
  • Manages the weekday work schedule and performance shift assignments, determining appropriate
    staffing coverage to maximize customer service and efficiency.
  • Administers annual review process for all Box Office sales
    staff.

Other Functions

Perform other duties as assigned.

Minimum Qualifications
(Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree.
  • 2-5
    years of experience in cash and credit card handling procedures and the ability to communicate these procedures to staff.
  • Previous
    Box Office Management experience.
  • Ability to establish and maintain harmonious relationships with the public.
  • Ability to
    work under pressure in a very confined work area.
  • Ability to perform multiple tasks and assume new responsibilities with
    flexibility and efficiency.
  • Ability to operate independently while maintaining a schedule and meeting deadlines.
  • Self-motivated to improve current practices.
  • Excellent organizational skills with attention to detail.
  • Effective oral
    and written communication.
  • Competency with Microsoft Office Suite.

Preferred Qualifications (Knowledge,
Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree in Accounting, Arts Management,
    or equivalent field.
  • Two years of experience working with a ticketing system.

Physical Demands/Working
Conditions

Typical office environment.

Additional Details

Works under the
supervision of the Director of Administration and Finance who reviews work for conformance with departmental and University policies. Works
independently with freedom to implement policies and procedures.

Work Schedule

Hours vary, may work
some nights and weekends.
