University’s College of Pharmacy is pleased to announce the acceptance of qualified applications for the Program Assistant vacancy.

Responsibilities

Assists the Division
Director in the development, evaluation and implementation of policy and program goals and objectives; Assists in ensuring that the College
of Pharmacy follows state and federal guidelines and procedures; Assists the Division Director in scheduling career stimulation programs for
prospective students; Assists Division Director and faculty members in making copies of documents and other professional papers; Assists in
typing of grants, proposals, manuscripts, lecture notes and course syllabi; Maintains a copy of faculty syllabi in a standard retrievable
database; Files material and documents as needed and as requested by the Division Director; Assists students with computer, copier and other
related needs; Maintains the confidentiality of data, correspondence, reports, telephone, facsimile information as it relates to the
students in the College of Pharmacy; Answers all inquiries from individuals who contact the office seeking information regarding the College
of Pharmacy; Performs all other related duties as required by the Division Director; and works closely with the Coordinator of Student
Affairs in Jacksonville to ensure that all student grades are appropriately submitted to Tallahassee in a timely manner.

Set-up
and maintain an effective filing system that allows for easy retrieval of both incoming and outgoing materials including letters, memoranda,
forms and reports; Maintains personnel files for all employees in the Jacksonville campus; Provides fiscal assistance for the Jacksonville
office. To include but not limited to: Maintaining budget allocation records, budget balances; amount spent through requisitions and other
fiscal venues for supplies and equipment and interacting with fiscal components in Jacksonville and the main campus in Tallahassee to
provide adequate follow-up in ordering and receiving items as needed; Researches materials and information on various sources for inclusion
in various reports and/or forms; Drafts information for Division Director’s perusal as required; Sets up meetings and/or conferences as
requested by the Division Director, notifying participants, generating agendas, serving as recorder, summarize, type and distribute minutes
to those in attendance; Makes reservations and travel arrangements for faculty and students as needed to meetings and academic functions.
This includes making transportation and hotel reservations; typing travel requests (TARs) and securing tickets, rental cars and other items
needed to complete travel arrangements; Coordinates office operations for the Jacksonville Pharmacy Practice Division; Serves as office
receptionist when necessary; Handles incoming calls and routes as necessary; Provides visitor assistance as needed; and all other duties as
assigned by the Division Director.

Minimum
Qualifications

A high school diploma or equivalency and four years of related experience; or a combination
of post high school education and experience equal to four
years.

Recommended Competencies


Ability to communicate effectively, verbally and in writing;

Advanced ability to gather, interpret, report, and/or
edit information;

Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances,
rules and regulations;

Knowledge of the concept, principles and practices of management;


Knowledge of office practices, procedures, and etiquette;

Ability to prioritize, organize and perform multiple work
assignments simultaneously;

Knowledge of and the ability to interpret and apply related University policies,
procedures, principles, and practices;

Ability to establish and maintain effective working relationships; and

Powerpoint, Zoom and Excel proficiency.

This is an USPS (University Support Personnel System)
position.

Conditions of
Employment

Successful candidate is subject to a pre-employment screening which includes a review of
criminal records, reference checks and verification of education. An official college transcript, a high school diploma, or other
educational documents must be submitted, where applicable, at the time of employment.

Only United States (U.S.) citizens
or aliens who have a legal right to work in the U.S. are eligible for employment. Federal law requires proof of your authorization to work
in the United States. You will be required to provide proof of your identity and employment eligibility within three (3) days of
employment.
