About the Opportunity

The Sales Manager position serves as the primary contact and property ambassador to promote, sell, and plan the use of The Erickson Alumni Center (EAC) as a state-of-the-art conference and social venue, for new and existing clients.

Organizational Structure:

The Erickson Alumni Center (EAC) is under the umbrella of Strategic Partnerships and the direct executive leadership of the Assistant Vice President of Strategic Partnerships. Daily operations will be under the direction of the General Manager.

What You’ll Do

Sales & Marketing

  • Develops and implements sales initiatives, strategies, and programs to capture business from key demographics.
  • Sells, contracts, and closes business on event space and catering for meetings and special events in the facility, taking into consideration the needs of the facility and client.
  • Identifies, solicits, and develops social accounts using database, networking, and prospecting.
  • Identifies local, state, and national influencers to generate maximum visibility of the Erickson.
  • Promotes the Erickson Identity through use of various forms of solicitation, direct mail, email, and site visits and trade shows; solicits business through occasional off-site travel to attend trade shows, etc.
  • Negotiate contracts using established policies and guidelines, ensuring accuracy and consistency.
  • Aggressively pursues new accounts on a weekly basis to achieve established goals. 1 – Consistently books repeat business
  • Maintain data base to track sales leads, contacts, and accounts for future business. I – Maps accounts to identify decision makers and social planners.
  • Builds relationships with planners and related industry contacts.
  • Generates, receives, and executes contracts for events.
  • Travels to make outside sales calls throughout the region.
  • Actively upsells business opportunities to maximize potential revenue.
  • Services existing accounts and develops and follows up on new sales leads.
  • Sets general pricing guidelines and budget goals in collaboration with EAC Management.
  • Making general pricing guidelines and booking patterns into consideration, makes sound business decisions that will impact facility revenue.
  • Understands forecasting and compiles regular reports.
  • Stays abreast of budgeted revenue goals and assists in developing action plans to originate and generate additional business when needed.
  • Collaborates with the Director of Marketing and Communications in the development of brand sales initiatives and other.
  • campaigns designed to increase facility utilization.
  • Provides recommendations for corporate, weddings, and other social market opportunities and publications.

Event Management

  • Manages the planning and execution of EAC events while embodying the organization’s commitment to hospitality. Events vary in size and scope from small business meetings to large scale weddings, reunions, and conferences.
  • Is the face of the EAC, interfacing daily with all types of EAC clientele which will include WVU President, Board of Governors, Alumni Board of Directors, WVU senior administrators, elected officials, donors, alumni, students, senior leaders of large corporations and the general public.
  • Is fully responsible for creating, implementing, leading, and evaluating a comprehensive, first of class, standard of excellence, customer service program.
  • Ensures that proper staffing is available for all events at the EAC.
  • Ensures that required hospitality, customer service operations and training standards are met.
  • Maintains, monitors, coordinates, and prepares for customer requirements. Relays information to appropriate personnel to ensure a high-level customer experience.
  • Manages all onsite duties related to the client experience in the facility, providing an exceptional customer experience for assigned events.
  • Ensures all needs that client agreed upon are successfully executed (time of food delivery, clean up etc.) for assigned events.
  • Collaborates with and serves as an onsite resource to clients in the execution of their special events.
  • Resolves administrative issues and inquiries, coordinating communications and activities within the Center.
  • Meets with other staff on a daily basis to resolve issues and concerns.
  • May attend on- and off-campus meetings as requested and report back on issues of importance.
  • May answer phones and greets visitors to office or location.
  • May work with A/V in rooms for events as needed.
  • Performs related duties as assigned or as directed.

Collaborations and Partnerships

  • Alumni Relations: The EAC is a direct partner with the Alumni Association under the University Relations Organization. Both entities work hand in hand to take care of our alumni Community. This position will work closely with the Vice President of the Alumni Association, along with its entire team, in executing the strategic mission and action plans of the Association.
  • Community and Local Government Relations. This position will work with the Director of Local Government Affairs to facilitate and service all groups in this market for conference services. In addition, this position may present at various WVU boards, committees, and associations, promoting the services and value add that the EAC brings to organizations. All interactions must promote and foster strong and long-lasting relationships with our local community partners and elected officials.
  • State and Federal Government: Collaboration with the Director of Governmental Affairs in the coordination and execution of all state and federal events and conference needs.
  • Corporate Relations. This person will collaborate directly with the Director of Corporate relations to house and facilitate all WVU contacts for conference services.
  • Vendors: Collaboration with all vendors that use the EAC for their goods and services.
  • Sodexo: Strong collaboration with our culinary partner, Sodexo. Together, both entities must perform at optimal levels for all EAC events that require culinary services.
  • Collaborates with our Dean, Professors and Students in the school of Business and Economics, Hospitality Program by using the EAC as an incubator for real life experience in the areas of hiring, training, developing, appraising, scheduling, sales, planning, and execution of events. Charitable Organizations: This position will be the liaison between the AVP of Strategic Initiatives and EAC, with all charitable and local organizations that may use the facility for their organizational services. Responsibilities will also include the selling and execution of the event.
  • Special Events: This position will be the connector with WVU Main and WVU Medicine to facilitate all meeting, social and conference service’s needs.

Qualifications

  • Bachelor’s degree in a related field. Degree in a business or hospitality related field is preferred.
  • A minimum of three (3) years’ experience involving:
    • Hospitality Marketing and sales experience
  • Excellent communication skills, both oral and written; strong interpersonal skills.
  • Excellent customer service skills and knowledge of hospitality industry standards and best practices.
  • Ability to negotiate contracts via phone and personal interaction.
  • Ability to multi-task and balance multiple priorities, while meeting critical deadlines.
  • Ability to interact with guests in a friendly and professional manner.
  • Ability to provide aggressive, rapid, and creative approaches to problem identification, resolution, and prevention.
  • Diplomacy and the ability to maintain confidentiality.
  • Ability to work independently, exercising appropriate judgement.
  • Ability to interact effectively with a diverse clientele.
  • Demonstrate knowledge of wedding/social etiquette and market segment.
  • Demonstrate knowledge of fine dining menus, wines, etc.
  • Ability to work with the public under less-than-ideal circumstances.
  • Strong organization skills.
  • Ability to gather, compile and interpret data and draw valid conclusions.
  • Ability to work a flexible schedule.
  • Ability to work evenings, weekends and holidays as needed.
  • Ability to use a personal computer including the operation of the Microsoft Office Suite software.
  • Ability to learn to use Star Rez and other conferencing software.
  • Knowledge of WVU Alumni Association, its history, mission, strategic objectives, and programs.
  • Knowledge of WVU, its history, mission, and strategic objectives.
  • Ability to coordinate and manage special events.
  • Knowledge of budget process and fiscal management.
  • Ability to speak in public.
