Staff Assistant – Community Service Leadership + Learning, Rowan-Virtua Family Medicine (Stratford, NJ)

SUMMARY:

Performs a wide variety of administrative and support services within the Department of Family Medicine.
Serves as key support staff for the longitudinal Community Service Learning and Leadership Course and the Family Medicine Residency Program.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Community
Service Learning and Leadership course-related duties (80%):

  • Serves as the main point of contact for students via phone, email or
    face to face for CSLL students.

    • Handles & resolves student complaints in a timely manner
    • Records necessary details of
      student inquiries, comments and complaints as well as actions taken to address them.
    • Directs requests to the appropriate
      resource.
  • Maintains essential records, calendars & software for the CSLL course.
    • Regular updates and
      maintenance of the Canvas pages and google drives
    • Records all course data and presents at retreats to inform continuous improvement
      efforts and innovation
    • Creates and maintains ExamSoft assignments, One45 send outs, Qualtrics/Google form surveys, Echo360
      recordings
  • Manages student grades in a timely and accurate manner, including coordinating and tracking student
    remediation.

    • Tracks and provides support in completing clerkship preceptor evaluations
  • Supports the Course
    Director in development of the annual course schedule:

    • Communicates all schedule needs/requests to Academic Affairs + students
    • Provides logistical support for schedule development i.e. room reservations, WebEx creation
    • Confirms lectures with faculty
  • Serves as primary point of contact for all faculty, guest lectures, and panelists
    • Compiles all lecture materials
      and recordings and distributes to students and faculty
  • Provides support for IPE event.
  • Coordinates all
    clerkship placements with AHECs and communicates, tracks, and handles all onsite paperwork.
  • Provides Continuing Education Credit to
    preceptors and lecturers where appropriate.
  • Provides administrative support for the CSLL director.
  • Other duties as
    assigned in support of the CSLL course.

Family Medicine Residency program-related duties (20%):

  • Responsible for keeping
    resident files updated and audits for missing documentation on a monthly basis and follows up accordingly for completeness.

    • Maintains and tracks evaluations, certifications, duty hours etc.
    • Ensures resident compliance with all training modules
  • Responsible for resident evaluations
  • Schedule semiannual evaluations with Program Director
  • Prepare
    individual resident files for evaluations
  • Prepare and file resident annual reports
  • Responsible for resident contract
    completion.
  • Tracks & submits CME credits for faculty preceptors & all out rotation preceptors
  • Schedules CCC meetings,
    prepares all data, and logs feedback and scores
  • Provides event support, such as graduation, orientation, and recruitment
  • Serves as back up for all residency related duties. Assists with additional residency responsibilities as assigned.

Serves as
liaison between the department and other administrative units such as Purchasing, Accounts Payable, Human Resources and Information Services
and Technology.

Understands and adheres to Rowan-Virtua SOM compliance standards as they appear in the Corporate Compliance Policy,
Code of Conduct and Conflict of Interest Policy.

Keeps abreast of all federal, state and Rowan University regulations, laws and
policies as they presently exist and as they change or are modified.

Performs other duties as assigned.

Bachelor’s Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field,
