Responsibilities:
Working a Monday – Friday 8:00 am – 5:00 pm shift, the warehouse storekeeper position supports the operation and maintenance of the warehouse section of the Facilities Management Department. The duties and tasks reflect substantial variety and complexity ranging from receipt of inventory, monitoring of stock levels, generation of replenishment documents, inventory counts, records maintenance, in-use tool and equipment control.
Receiving and Distribution Actions
- Receives, identifies, verifies, stores and/or distributes all incoming material, parts and equipment for Facilities Management according to established procedures;
- Resolves receiving and distribution issues, including discrepancies, defectives and returns; and
- Ensures thorough, accurate and complete receipt processing including receipt log maintenance and user notification of product arrivals.
Inventory Control
- Performs directly, or oversees the performance of, the tasks required to implement and maintain inventory control, which includes keeping accurate, up to date, inventory records; monitoring stock levels; generating purchase requisitions for stock replenishment and expediting storage and distribution of all incoming stock and non-stock items;

- Actively monitors stock levels and submit requisitions to ensure there are no stock shortages to the extent practicable;
- Notifies users of stock and non-stock order arrivals to ensure prompt distribution;
- Maintains up to date records of receipts and stock and non-stock item issues;
- Keeps warehouse neat and organized at all times;
- Prepares periodic reporting on no-demand items for possible surplus and disposal action; and
- Creates Ad-hoc reports as requested by warehouse manager.
Equipment Control
- Responsible for keeping to tool crib/ durable item cage in good order and for issuing tools, equipment, clothing and other durable items to shops and to individuals on custody receipts and maintaining all related control and issue/return logs; and
- Ensures superior attention to detail in the arrangement, organization and issuance of all secured property and accurate maintenance of all associated records.
Other Duties as Assigned
- Performs other duties as assigned to maintain warehouse or facilities operations such as but not limited to inclement weather duty, General Service support to departments, and university event support actions;
- Provides outstanding customer service to both internal and external customers by considering how actions or plans will affect customers; follow through on responsibilities to customers;
- Responds with appropriate urgency, flexibility, courtesy and good judgment to meet customer needs and resolve problems. Identifies and initiates actions to support the mission and objectives, and to resolve or avoid problems;
- Maintains high credibility to accomplish objectives;
- Follows safety policies and procedures; identifies and corrects safety hazards. Follows general university policies and procedures that are related to data stewardship and information technology security;
- Safeguards sensitive and confidential data both in electronic and physical forms; and
- Employee is designated as “Essential Personnel.” All essential personnel employees are required to report for snow removal and assist with clearing grounds, roads, pathways, sidewalks or steps.
Required Qualifications:
- High school diploma or equivalent;
- Demonstrated experience working in a warehouse, stock control, inventory, or related position;
- General knowledge of warehouse and inventory control principles and procedures;
- General knowledge of warehouse and material handling equipment safety including hazardous materials handling procedures and Material Safety Data Sheet (MSDS) records compliance;
- Care and safety of warehouse equipment, forklifts, and vehicles. Individual must be skilled in data entry in inventory control systems in a Windows based operating environment;
- Ability to adapt procedures, techniques, tools, materials and/or equipment to meet specific needs. Individual must be able to tabulate and maintain accurate records and communicate effectively in speech and in writing;
- Ability to maintain positive working relationships with co-workers and effectively handles conflict situations;
- Ability to maintain open channels of communication; express ideas clearly and concisely; keep others well informed in a timely manner; listens carefully to input and feedback;
- Valid driver’s license: must currently possess an appropriate, active, valid motor vehicle operator’s license that meets all of GMU’s requirements for operating state vehicles and equipment under Mason’s Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/. The Office of Risk Management reserves the right to review the driver’s licenses and Motor Vehicle Reports (MVRs) of all candidates selected with employment contingent upon a favorable review; and
- Must be able to become certified in forklift operation.
